Saving Time at the Office


Just because you have to work for a living does not mean you should have to live at work. Whether you want to create a presentation for your next office meeting or you need to modify a document that was sent to you by a co-worker, there are plenty of little things you can do to help make your day much more efficient afterwards.

Create Keyboard Shortcuts
Anybody who used to use a program that used keyboard shortcuts and no longer has the ability may miss this greatly after converting to a new system. For example, there are plenty of people who are used to pressing control-F7 in order to get a new footnote when using the Word program, but it can be frustrating to have to go through the long procedure to do the same in Pages or Word, since both programs require opening a separate menu.

Fortunately, it is possible to recreate your old shortcuts by using a program designed to develop macros. Here, you can record your macro for your choice of program, and then you can assign a shortcut. In other words, for the aforementioned example, a few minutes of your time can allow you to apply control-F7 to add a new footnote within Pages and Word.

Easily Edit PDFs
If a coworker sends over a portable document format to sign, it can be a hassle printing out the document just to sign it and then scan back into the computer just to send it back all over again. Why go through the hassle when you can simply get a PDF editor to perform the same task while on the computer?

Some features to be on the lookout for when picking a PDF editor, whether commercial or open source, include splitting and merging abilities as well as the ability to modify any and all parts of the PDF document. There are many documents that use coding in order to create special effects, and you might find having this feature useful as well.

Remember, if you are looking at an open source program, you will need to look at the terms of service to verify whether or not there are certain tasks you are not permitted to perform using the program. In addition, there are several open source PDF modifier programs that have no trouble editing text but cannot quite manage images in the same way.

When someone creates an image for a PDF file, it will typically consist of layers of an image stacked onto one another in order to come up with the final file. For example, if you have a company logo on your PDF, it may have decorative elements, a background and then the logo itself layered on one another so that it appears to be a single image. Some editors may permit you to modify individual elements of that image while some cannot separate them at all. If you're looking to make simple edits to the images of your PDF, this may not be an issue with an open source editor, but you'll want to be careful if you require advanced editing.

If you regularly add images to a word processing document, such as digitally signing a signature to a letter you typed out on the computer, you might find that your program makes it difficult to move images after you have placed it. Depending on the program that you use, you may be able to make your background objects selectable so that you can regain control of its placement.
