Our E-Procurement system is divided into 3 distinct tools: Users & Purchasing Policies, Schedule & Save, and Reports. Here’s how it works.

Users & Purchasing Policies

The Users tool helps with the flow of the internal purchasing process. Your accounts can have multiple ‘users’ which allows for different people to have separate login information and passwords. This is particularly useful for offices with multiple purchasers.

The approval process is set up by the Superadmin to guide and control what is being purchased. Upon the purchaser choosing the items to buy, an e-mail is sent to the Superadmin which lists the items being purchased. The Superadmin then has the opportunity to approve, decline, or edit the order before it is processed.

Our Users tool is on a hierarchical system, with three separate levels of authority. The highest being ‘Superadmin’, followed by ‘Admin’, and then ‘Requestor’. The Superadmin and Admin have the option to set purchasing limitations for other users under them – if they so choose. The tremendous user friendly layout makes keeping track of your purchasers simple.

The Admin and Superadmin can set budget limitations and decide approval limits for the purchasers. Whoever the designated Approver can decide weekly, monthly, quarterly, or yearly budget allocations; as well as minimum or maximum order value thresholds. Say, for instance, that one of my responsibilities is to order supplies for the office. The Admin above me can decide that I have a $1000 dollar spending limit for the month. Here’s how it could look:

But what makes this tool so efficient is that even though each purchaser has his or her own login and password, there is only one account number. Therefore, no matter how many people are set up to make orders, each company only needs to keep track of one account. That’s one invoice in one place. If only all of life can be this way!

Schedule & Save

Everybody has recurring orders. Whether it be coffee for the break room, toner for your copier, or copy paper for your printer, our Schedule & Save feature allows you to automate the ordering and maximize efficiency.

Our Schedule and Save tool also lets you set up a standing order and schedule it to ship for any time cycle you want! And don’t think you’re locked in. You have the flexibility to edit and manage this whenever you please. This allows customers to repeat previous orders without even having to log onto the Shoplet website. Simply set a date for your order to process and it will come automatically. So, for example, if you know you need ten reams of paper each month, just Schedule and Save the number of reams, and set it to repeat this order once per month. Bam! You’re done!

Reports

Lastly is our Reports tool. We know how important it is to monitor your spending habits. Our goal is to help make this as easy for you to manage as possible. Here, you can capture spending by user, department, cost center, or location, on a monthly basis!

We show you how much you’re spending on a month-to-month basis and break things down by category with a colorful and easy to read pie chart. Our Reports tool allows you to easily monitor your spending, thus giving you more time to focus on what is really important – your business.
